Job Description

Our client has an immediate need for a Hotel Inventory and Data Analyst for a seasonal assignment (October – May) to oversee hotel reservation procedures and inventory control, ensuring optimal room allocation and reservation handling for multiple hotels. Manage and update hotel room blocks based on requests, along with meeting the room requirements for sponsors, tours, media, officials and other groups. Provide an exceptional experience for all guests in a safe, warm, and friendly environment.

 

Duties and Responsibilities:

  • Work proactively with and report to Director

  • Monitor and manage room availability and allocation across multiple properties

  • Ensure accurate tracking of room inventory through Access reservations program to prevent over and under booking

  • Adjust inventory levels based on demand forecasts and booking trends

  • Work closely with reservation team to ensure seamless handling of incoming reservations

  • Implement and manage booking policies and procedures to optimize room occupancy

  • Ensure that inventory data is accurately entered and maintained in Excel

  • Coordinate with hotel management and front desk staff to align inventory with contracts

  • Assist Director with multi-year hotel contracts, room inventory, rates, comps, attrition

  • Assist Director with annual hotel budget

  • Manage, train, supervise reservations staff - prepare work assignments

  • Participate in pre-convention meetings with all hotels prior to events

  • Communicate with sponsors, tours, other groups, and agents to determine/maintain hotel room inventory

  • Provide staff with hotel and guest information – other necessary information

  • Support guests, agents, tours, and others during events

  • Prepare tour fact sheets

  • Reconcile hotel billing after tournament

  • Safeguard the confidential guest information and data; adhere to all policies and procedure to minimize risk to guests and organization

  • Other duties as assigned

 

Qualifications:

Language Ability:

  • Ability to read, interpret, and comprehend documents such as rules and regulations, operating instructions, and procedure manuals

  • Ability to speak effectively with guests, agents, officials, tour representatives, vendors, and co-workers

  • Must be able to communicate effectively and professionally

  • Must read, write, communicate in English

  • Bilingual a plus

 

Math Ability:

  • Ability to forecast and understand budgets and spreadsheets

  • Ability to calculate figures and amounts such as discounts, interest, commissions, and percentages

 

Reasoning Ability:

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form

  • Ability to deal with problems involving players, officials, volunteers, sponsors, and staff

  • Ability to provide solutions to problems that can occur unexpectedly

 

Education/Experience:

  • Bachelor’s degree preferred, but not required

  • 4 years of experience working in related field

  • Exceptional analytical, decision making, and problem-solving skills

  • Professional communication and leadership skills

 

Knowledge, Skills and Other Abilities:

  • Ability to analyze data and make data-driven decisions

  • Ability to track and manage inventory levels

  • Ability to address and resolve inventory-related issues efficiently

  • Ability to work effectively with players, coaches, officials, volunteers, sponsors, and staff

  • Excellent leadership, managerial, and interpersonal skills

  • Oral, written, communication, analytical, negotiating, skills

  • Enthusiasm, commitment to excellence, self-motivation, a professional demeanor, is highly organized, and detail oriented

 

Computer Skills:

  • Intermediate to advanced knowledge of Excel

  • Intermediate knowledge of Outlook, Microsoft Office Suite Word, and PowerPoint

  • Knowledge of Access required

 

 

Full-time (October, 2024 – May, 2025): This position requires various working hours based on events. This includes nights, weekends, and major holidays. Must be able to work seven days a week, when necessary.

 

Pay = $25-27/hr
