Our client is seeking a reliable, professional, and bilingual (English/Spanish) Administrative Assistant to join their team. As the first point of contact for their company, you will play a crucial role in providing excellent customer service and ensuring smooth office operations.
Responsibilities:
Answer and direct phone calls using a phone system in a professional and courteous manner
Provide project coordination support, including organizing and maintaining project files, tracking deadlines, and assisting with project documentation
Utilize QuickBooks or other accounting software to assist with bookkeeping tasks, such as invoicing clients, tracking expenses, and reconciling accounts
Schedule appointments and manage the appointment calendar effectively
Greet clients upon arrival and check them in for their appointments
Assist clients with completing necessary forms and paperwork
Maintain cleanliness and organization of the reception area
Perform general administrative tasks such as filing, scanning, and data entry
Perform order entry tasks by accurately inputting customer orders into the system and ensuring timely processing
Requirements:
MUST BE fluent in both English and Spanish
MUST BE always presentable and wear office attire daily
MUST BE able to work Monday through Friday from 9am - 5pm.
Proven experience (2 yrs) in an administrative role or similar position is required
High school diploma required. Additional education or certification in office administration is a plus
Strong communication and interpersonal skills
Excellent organizational and multitasking abilities
Proficient in using computer software programs such as Microsoft Office Suite (Word, Excel, PowerPoint) and QuickBooks
Must have reliable transportation
Ability to learn and adapt quickly in a fast-paced environment
Must be reliable, punctual, and able to work well independently as well as part of a team
Attention to detail and accuracy in all tasks
Ability to handle sensitive information with confidentiality
Strong problem-solving skills
Full-time
Pay: $22 - $25/hr
