Job Description

Our client is seeking a part-time/seasonal Administrative Assistant to support and assist general office activities and projects with administrative tasks. Provide customer service support and contact with homeowners and board members.

Skill Level:

  • Strong administrative background with Microsoft office experience (Outlook, Word, Excel)

  • Comfortable working in various online platforms to manage and maintain HOA business: Example: Zoom, Constant Contact, DwellingLive

Duties and Responsibilities:

  • Maintain Master Homeowner Contact List with Mailing info

  • Maintain email contacts in Constant Contact portal

  • Use Constant Contact to prepare and send Eblasts

  • Add and update content to community website (TBD) as needed

  • Scan, download to save correspondence and other documents to existing Dropbox Cloud into appropriate folders

  • Use email and community portal to process/track work orders and HOA projects

  • Receive and process emails, phone calls and in person visits from owners to direct work orders to Vendors

  • Schedule Vendors to perform work orders for HOA and owner exterior repairs

  • Maintain accurate records of all work orders and progress

  • Assist residents with HOA process for:

  • Adding RFID system devices and new accounts for owners in DwellingLive

  • Issuing and Tracking RV parking permits

  • Provide ARC applications to committee and track progress

  • Receive rental leases and keep track for gate access purposes

  • Maintain master calendar for work orders, events, meetings, etc.

  • Create, maintain and host all community zoom meetings including: Board meetings, town halls, committee meetings, etc.

  •  Assist the General Manager with:

  • Agenda and board packet preparation

  • General note taking during meetings

  • Scheduling

  • Light project planning

  • Office inventory

Part-time (18-24 hours per week)

Pay = $22-25/hr
