Job Description

Our client is seeking a highly organized and detail-oriented Executive Personal Assistant. The ideal candidate will be proactive, efficient, and possess a strong background in administrative tasks, accounting, and general office management. You will assist in both personal and professional tasks to ensure smooth operations of the executive’s day-to-day activities.

 

Duties and Responsibilities:

  • Provide administrative support, including but not limited to, filing, document organization, and correspondence.

  • Open and sort mail, handling sensitive documents in a timely and secure manner.

  • Maintain and update filing systems, ensuring easy access to important files and records.

  • Schedule and coordinate appointments, including those with vendors such as plumbers, electricians, handymen, and more.

  • Manage travel arrangements, including booking flights, accommodations, and transportation.

  • Track and manage insurance policies and renewals.

  • Assist with accounting tasks, including basic data entry and QuickBooks management.

  • Maintain a high level of communication using email, phone, and other digital tools.

  • Care for two cats, including feeding and general well-being.

Required Skills & Qualifications:

  • Previous experience as an Office or Administrative Assistant.

  • Proficient in Microsoft Excel and QuickBooks (experience with accounting a plus).

  • Excellent typing skills and attention to detail.

  • Strong organizational and multitasking abilities.

  • Ability to effectively schedule appointments and coordinate travel plans.

  • Comfortable using a smartphone and various apps for communication and scheduling.

  • Dependable and trustworthy with the ability to maintain confidentiality.

  • Experience caring for pets (preferably cats).
